Job description
Team PA (6328)
We’re a national law firm with a local reach. Our legal experts are here for you. Whether it’s personal or business, we understand that everyone’s situation is different. But we’re more than just a law firm – we’re a team of people working together to help individuals and businesses navigate life’s ups and downs. Working here you’ll feel a part of our friendly and inclusive environment.
We’ll value you for who you are and what you bring. We support each other and push boundaries to achieve incredible things and make a real difference to our clients and communities.
We're always looking to support our colleagues to work in a way that works best for them and everyone else, including our clients, the business and the regulators. Please speak to a member of our Recruitment and Onboarding team for more information.
Our Team PAs play a vital role in ensuring our legal teams can deliver an outstanding service to clients. Working across both our Serious Injury and Personal Injury teams, you will provide high-quality administrative, organisational and litigation support that helps cases progress efficiently and effectively.
This is a varied and fast-paced role, supporting colleagues with both case-related and operational activities. You'll work closely with lawyers, legal teams and business support colleagues, helping to maintain high standards of client service while ensuring matters are managed accurately and in line with court and regulatory requirements.
Technology is central to how we work. You'll use a range of legal systems, digital tools and automation technologies to support efficient case management, improve workflow processes and maintain accurate records. You'll also actively identify opportunities to simplify administrative processes and make effective use of available technology to improve productivity and service delivery.
This is a hybrid role based in our Manchester office, with 1–2 days per week office attendance.
As a Team PA, you'll:
- Provide comprehensive administrative and litigation support to colleagues across the Serious Injury and Personal Injury teams.
- Manage legal files and documentation using the firm's case management and document management systems.
- Prepare, review and distribute documents using electronic document and signature platforms, including DocuSign.
- Manage correspondence, telephone enquiries and administrative requests in a timely and professional manner.
- Maintain diaries, coordinate meetings, schedule appointments and monitor key deadlines.
- Support case handlers with administrative and defined billable activities to assist with case progression.
- Prepare and distribute court bundles, expert bundles and counsel bundles, ensuring documentation is accurate and complete.
- Arrange client, expert and stakeholder appointments and support associated administration.
- Request, monitor and manage medical, financial and other case-related records.
- Support case transfers, file management and document organisation activities.
- Assist with court e-filing processes, hearing administration and court listing arrangements.
- Process payments and assist with financial administration, billing activities and disbursement management.
- Draft routine correspondence, including funding updates and client communications.
- Support reporting, data collection and the maintenance of accurate management information.
- Assist with business development activities, events and professional membership applications where required.
- Conduct searches, arrange translation services and liaise with internal support teams to obtain specialist information.
- Action and monitor work arising from audits, file reviews and quality assurance processes.
- Contribute to continuous improvement initiatives, identifying opportunities to improve efficiency through technology, automation and best practice ways of working.
We're looking for a highly organised professional with strong administrative skills and experience supporting legal or professional services teams. You'll be comfortable managing competing priorities, building strong working relationships and using technology to deliver an efficient and high-quality service.
- Experience providing administrative, PA, EA or team support within a professional service, legal or corporate environment.
- Experience managing multiple tasks and competing priorities while meeting deadlines and maintaining accuracy.
- Strong organisational skills with the ability to manage diaries, documentation, correspondence and administrative processes effectively.
- Strong written and verbal communication skills, including the ability to communicate professionally with internal and external stakeholders.
- Experience using Microsoft Office and business systems to manage work efficiently and maintain accurate records.
- Ability to work collaboratively within a team environment and build effective working relationships with colleagues and stakeholders.
- Ability to handle confidential or sensitive information appropriately and professionally.
- Strong attention to detail and ability to maintain accuracy across a high volume of administrative activities.
- Ability to identify issues, use initiative and support the resolution of administrative or operational challenges.
- Willingness to embrace new technologies and ways of working, including digital and AI-enabled tools where appropriate, to support efficiency and productivity.
