Your Role

The role of KM Resources Specialist is to assess and manage new and existing KM resources in conjunction with the Senior Resources and Training Manager and Practice Development Lawyers (PDLs), maintain key relationships with suppliers, support the maintenance of our internal know-how content, and ensure investments in KM systems, processes, databases and tools are fully leveraged across the business. 

What You'll Be Doing
  • Managing the starters, movers, leavers and trainees processes in relation to KM resources.  Including working with the KM Assistants to review and improve existing processes, and supervising the KM Assistants in relation to starter, mover, leaver and trainee activities
  • Taking responsibility for the management of KM suppliers, as agreed with the Senior Resources and Training Manager, ensuring best value is obtained and developing positive partnerships by regularly reviewing services, regularly liaising with the suppliers, analysing and assessing usage, regularly reviewing costs, seeking feedback and assessing internal client satisfaction
  • Actively monitoring and raising colleague awareness of new developments from existing KM resources or suppliers, working with the KM Assistants, the Research Team and PDLs to proactively promote these enhancements, as well as brand new resources, via the Knowledge Hubs and during regular contact with lawyers.  Support the KM Training Specialist and PDLs where resource training is required.
  • Undertaking the procurement of all relevant KM resources following best practice guidance to ensure we deliver best value for the business, supported by the KM Assistants. This will include:
    • Reviewing and analysing usage for renewals
    • Researching and assessing any alternative resources, including setting up relevant product demos
    • Obtaining costs, negotiating with suppliers where necessary and managing renewals and new purchases within budget
    • Conducting high level review of contract terms, highlighting any areas of concern and liaising with our General Counsel Team on full contract reviews where necessary, and acting as the liaison point with suppliers to negotiate changes to terms as needed.
    • Drafting and submitting formal business cases for new resources where required
    • Checking final contracts and drafting a summary to send to the Director of Operations for signature where needed
  • Managing the maintenance of knowhow and training content on the Knowledge Hubs, working with the Senior Resources and Training Manager, the Director of KM and the PDLs to develop processes and guidance and supporting audit activities.  This will include:
    • Ensuring we are complying with our SRA requirements and retention periods
    • Identifying and helping to implement potential automation solutions
  • Working with the Senior Resources and Training Manager to undertake regular analysis of usage data, feedback and other relevant management information, to help identify key trends and related actions to help improve KM services and to provide insightful service reporting to share with several groups across the business (including the KM leadership team, Operations and Client Services Leadership)
  • Overseeing KM resource administration as carried out by the KM Assistants and providing guidance and advice as required (cataloguing, book orders, journals, budgeting, supplier management, etc.), and reviewing and updating related processes
  • Taking a lead role to prepare and manage the KM resources budget across the Group, working with the Senior Resources and Training Manager, the Director of KM, the PDLs and Finance.
  • Providing cover for the Senior Resources and Training Manager as and when required to ensure continued service delivery.
What We're Looking For
  • Previous experience in the areas of legal, competitive and/or business information management
  • Proven experience in managing resources including cataloguing, budget preparation, resources process management and supplier relationship management
  • Negotiation and contract review skills with the ability to pursue the best interests of the business in the procurement of services
  • Good knowledge of key legal, business and knowledge databases, and information / knowledge management tools, systems and associated technology
  • Good proficiency in the full range of Office applications.
  • Strong organisational skills and ability to manage and prioritise own workload, manage competing demands and meet tight deadlines.
  • Service excellence focus with dedication to meeting and exceeding the expectations and requirements of both internal and external clients.
  • A commitment to maintaining personal professional development and technical capability.
  • Problem solving and the ability to anticipate and resolve problems before they arise.
  • Attention to detail and high level of accuracy.
