We are looking for an engaged, highly organised and highly competent Team PA to join our Private Client Group.
This role has been designed to support our Private Client teams across both our Leeds and Sheffield offices, working alongside a friendly, collaborative and high-performing team of lawyers and business support professionals to deliver an exceptional service to our clients.
The successful candidate will be a key point of contact for clients, colleagues and third parties, providing proactive administrative and PA support to ensure our lawyers can focus on delivering outstanding legal advice and client care.
Given the nature of the role and the need for in-person support, you will be required to attend the office 4 days per week. The role will involve regular attendance at both our Leeds and Sheffield offices. Where travel between offices is required, expenses will be paid in line with our policy to the farthest office location.
As a Team PA, you will provide high-quality administrative and personal assistance support to the team, including:
- Acting as a professional first point of contact for clients and other stakeholders, handling queries and enquiries with confidence and discretion.
- Managing files throughout their lifecycle, including file opening, matter maintenance and file closure, ensuring compliance requirements are met and records are maintained to a high standard.
- Providing proactive PA support to partners and team members, including diary management, arranging meetings and appointments, organising travel and accommodation, and processing expenses.
- Coordinating an efficient and accurate billing process and supporting fee earners with client communications relating to invoices and payments.
- Building effective working relationships with Finance Operations colleagues to support timely billing and payment processes.
- Processing post and original documents accurately and within required timescales.
- Supporting team initiatives, projects and business development activities as required.
- Working collaboratively with colleagues across both locations and the wider Group to deliver a seamless, high-quality service.
- Experience providing administrative, secretarial or PA support within a professional services or corporate environment.
- Strong organisational skills, with the ability to manage competing priorities and maintain accuracy when handling a varied workload.
- Experience managing diaries, arranging meetings and coordinating administrative processes.
- Excellent written, verbal and telephone communication skills, with the ability to communicate professionally with clients and colleagues.
- The ability to work independently, use initiative and take ownership of tasks.
- A collaborative approach and the ability to build positive working relationships across teams and locations.
- High levels of attention to detail and a methodical approach to administrative work.
- Willingness to attend both the Leeds and Sheffield offices as required, with a minimum of four days per week office attendance.
Desirable
- Previous experience working within a legal environment, particularly within a Private Client team.
- Experience supporting fee earners or partners within a professional services setting.
- Familiarity with billing processes, document management systems and matter management procedures.
