Executive Assistant (6495)

Your Role and What You'll Be Doing
  • The Executive Assistant role is a key strategic support position within Irwin Mitchell, providing high-quality, proactive and professional executive support to senior leaders in the business.
  • Working as part of the Executive Assistant Team, you will partner with senior leaders to maximise their effectiveness, enhance communication, support decision-making and ensure the smooth delivery of operational and strategic priorities.
  • This role goes beyond traditional executive support. You will utilise technology, including Microsoft 365 and Copilot, to drive innovation, improve efficiency, identify opportunities for continuous improvement and help shape ways of working across the business.
  • You will be a trusted advisor, problem solver and collaborator, helping deliver an exceptional service while contributing to the visibility, capability and success of the wider EA community.

Executive Support & Strategic Partnership

  • Act as a trusted and confidential Executive Assistant to senior leaders in the business.
  • Build strong relationships with stakeholders across the business and become a trusted partner to senior leaders.
  • Anticipate needs, proactively identify priorities and support effective decision-making.
  • Support executives in managing competing priorities and maximising their time and effectiveness.
  • Provide insight-led support through forward planning, workload management and proactive problem solving.

Meeting & Governance Support

  • Organise and coordinate committee and leadership meetings.
  • Prepare agendas, collate and distribute meeting papers and ensure actions are tracked through to completion.
  • Attend meetings where required, taking accurate minutes and producing high-quality action-focused summaries.
  • Maintain governance records, action logs and pipeline trackers, ensuring they remain accurate and up to date.

Diary & Email Management

  • Manage complex and ever-changing diaries, ensuring effective use of executive time.
  • Schedule meetings with consideration for priorities, wellbeing, travel and business requirements.
  • Proactively manage inboxes, identifying urgent matters, highlighting key actions and drafting responses where appropriate.
  • Use available technology and digital tools to streamline diary and communication management.

Digital Innovation & Continuous Improvement

  • Embrace and champion the use of Microsoft 365, Copilot and emerging technologies to improve ways of working.
  • Identify opportunities to automate, simplify and enhance administrative and operational processes.
  • Create efficiencies that reduce manual effort and improve consistency and quality of outputs.
  • Share best practice, support digital adoption and contribute to the development of innovative working methods across the EA team.
  • Actively seek opportunities to improve processes, tools and team effectiveness.

Communication & Stakeholder Engagement

  • Deliver high-quality communications on behalf of senior leaders.
  • Build and maintain effective working relationships with internal and external stakeholders.
  • Act as a key point of contact, ensuring a professional and responsive service at all times.
  • Support the facilitation of collaboration across teams, functions and locations.
  • Maintain the highest standards of confidentiality, discretion and professionalism.

Events, Travel & Business Operations

  • Coordinate complex travel arrangements, accommodation and itineraries in line with firm policy.
  • Support the delivery of internal and external events, including virtual and in-person meetings.
  • Assist with the planning and delivery of leadership meetings, conferences and business events.
  • Prepare and process expenses in accordance with firm policies and procedures.

Collaboration & Team Contribution

  • Work collaboratively as part of a high-performing EA community.
  • Share knowledge, best practice and expertise to support continuous development across the team.
  • Provide support and cover for colleagues where required.
  • Contribute to team initiatives, projects and forums that enhance the profile and impact of the EA function.
  • Support the onboarding, development and success of colleagues through knowledge sharing and collaboration.
About You
  • Experience providing high-level Executive Assistant or Senior PA support to senior leaders.
  • Excellent organisational and prioritisation skills with the ability to manage multiple competing demands.
  • Strong written and verbal communication skills with exceptional attention to detail.
  • Highly proficient in Microsoft 365, including Outlook, Teams, Word, PowerPoint and Excel.
  • A willingness to embrace new technology and utilise tools such as Copilot to improve productivity and efficiency.
  • Demonstrable ability to work proactively, anticipate needs and take ownership of outcomes.
  • Experience managing confidential and sensitive information with absolute discretion.
  • Strong stakeholder management and relationship-building skills.
  • A collaborative team player who enjoys supporting and developing others.
